How we handle your data

Who we are

The data controller is SYPVENDING LIMITED (trading as SYP Vending), company number 16491237. Registered in England and Wales. Registered office: 5th Floor, 167-169 Great Portland Street, London W1W 5PF. For anything in this notice, email hello@sypvending.co.uk.

What this site collects today

• Nothing from the forms. The mailing-list and contact forms are marked as previews. Submitting them shows a message and discards the input; no email address or message leaves your browser.
• No cookies, no analytics. We do not run analytics or advertising scripts and do not set cookies. If that ever changes, this notice will say so first.
• Server logs. The site is delivered by Cloudflare. Like any host, Cloudflare records basic technical information about each request (your IP address, browser type, the page requested and the time) for security and to keep the site running, and keeps those logs only as long as it needs them for those purposes.
• Email you send us. If you write to an @sypvending.co.uk address, we keep your message and our reply for as long as we are in contact and for a reasonable period afterwards, so we can pick the conversation back up.

When the forms open

We will update this notice before either form goes live. The design they will open with:

• Mailing list. We ask only for an email address. You will get a confirmation email and are only added once you click the link in it (double opt-in). Our legal basis is your consent, which you can withdraw at any time with the unsubscribe link in every email or by writing to us. Addresses are used for SYP project news only and are never sold or shared for anyone else’s marketing.
• Contact form. We ask who you are, an email address and your message, so we can reply. Our legal basis is our legitimate interest in answering people who contact us, and where you are proposing to work with us, the steps needed before any agreement.
• Who processes it. Email and list providers act on our instructions under contracts that meet UK GDPR requirements. We will name them here when the forms open.

Your rights

Under UK data-protection law you can ask us for a copy of the personal data we hold about you, ask us to correct or delete it, object to or restrict how we use it, and withdraw consent where consent is the basis. Email hello@sypvending.co.uk and we will respond within one month.

If you are unhappy with how we have handled your data, you can complain to the UK Information Commissioner’s Office at ico.org.uk/make-a-complaint. We would appreciate the chance to put things right first.
